Office Policies

Practical policies governing scheduling, cancellation, communication, and other operational matters.

1. Appointments & cancellations.

Sessions are scheduled in advance with your clinician. To cancel or reschedule a session without charge, please notify the office at least 24 hours before your appointment. Cancellations made with less than 24 hours' notice and no-show appointments are billed at the full session rate, except in genuine emergencies as determined at our reasonable discretion. Insurance does not cover late-cancellation or no-show fees; these are your responsibility.

2. Lateness.

Sessions begin and end on time. If you arrive late, your session will end at the originally scheduled time. The full session fee applies regardless of how much of the session you attend.

3. Communication outside session.

Your clinician monitors voicemail and email during business hours and will return non-urgent messages within one business day. Email and SMS are not secure channels — please use them only for scheduling and brief logistical messages. For clinical content, use sessions or the secure patient portal where available.

4. After-hours and emergencies.

Pasadena Clinical Group is an outpatient practice and does not provide 24/7 on-call coverage. In a psychiatric emergency, call 911 or 988, or go to your nearest emergency room.

5. Court appearances and subpoena fees.

If you are involved in legal proceedings and your clinician is subpoenaed or asked to testify, prepare records for court, or otherwise participate as a witness or evaluator, the following fees apply (template — replace with actual rates before publication):

  • Records preparation, review, and document production: $XXX/hour, billed in 15-minute increments.
  • Phone calls or correspondence with attorneys: $XXX/hour.
  • Deposition testimony: $XXX/hour, with a half-day minimum.
  • Court appearance: $XXX/hour, with a full-day minimum, and travel time billed.
  • Travel time outside Pasadena: $XXX/hour.

You are responsible for these fees regardless of which side calls our clinician. A retainer may be required in advance.

6. Termination of services.

Either you or your clinician may terminate treatment at any time. Reasons treatment may be terminated by us include: clinical needs that exceed what we can provide; persistent missed appointments; non-payment; or when continuation is not in your therapeutic interest. We will give reasonable notice and provide referrals where appropriate, including emergency referrals if needed.

7. Social media and dual-relationship policy.

Clinicians at PCG do not friend, follow, or otherwise initiate social-media contact with current or former clients. We will not respond to social-media messages from clients about clinical matters; please use phone, email, or the patient portal. Outside the therapy relationship, we maintain professional boundaries and avoid dual relationships in keeping with the California Board of Psychology and BBS ethical codes.

8. Recording.

You may not audio- or video-record sessions without your clinician's prior written consent. Likewise, your clinician will not record sessions without your prior written consent.

9. Photography and likeness.

Photographs taken in or outside the office that include other clients or staff may not be shared publicly without express written consent.

10. Children in the waiting area.

For safety reasons, children should not be left unattended in the waiting area.

11. Updates to these policies.

We may update these policies from time to time. Material changes will be communicated to active clients and posted on this page.
